Summative Evaluation Process for University Supervisors:

The process varies slightly, depending on whether or not it is the first time data has been entered for a student.  “Datasets” are the versions of the forms I set up for you each semester.

  1. Go to your Forms tab at the top of your LiveText screen.
  2. Locate one of the datasets for this semester – remember that you have a set for you (US) and one for the CTs’ assessments.  Be sure you are opening one for this semester, not a previous one.
  3. Click the “manage” link on the far right of the set into which you want to enter data.
  4. You should see a list of your students in a box on the left; check to be sure you have the right students.
  5. If there is a 1 in the Submissions column, that means the student has completed the first several fields, as requested.  A 0 means the student has not filled those in yet.
  6. To enter data for a given student, put a check in the box next to the student’s name.  In the box on the right, that student’s data should appear (if some has already been entered – if the 0 is in the Submissions column, the fields should still be empty, even when you have checked the student’s box).
  7. While the student’s record is selected (box is checked), enter data in the right-hand box.  When you are finished, click the Apply Changes button (top right of box).  Look at the space just above the Recipients box for a blue message that the form has been saved (message only appears for a few seconds).
  8. IF THIS IS THE FIRST TIME DATA HAS BEEN ENTERED FOR THIS STUDENT, uncheck the box to make that student’s data disappear before checking the next student’s box to work with a new record. (This should be the more unusual situation, since the students are supposed to be putting data in for you on the first several fields – if they do that, LiveText will consider their entries to be the “first time” – all yours will be subsequent times and you should follow the directions below.)
  9. IF THIS IS NOT THE FIRST TIME: When you uncheck the student’s box, the student’s data will not disappear.  To make it disappear before moving on to the next student, be sure no box is checked in the left-hand frame and click the Reset button and tell it, yes, you are sure – that should clear the data and you can then check the next student’s box and proceed with the new record.
  10. Things to remember:
    1. Never click the Reset button while a box is checked – that will clear out all the data for that student’s record.
    2. Never try to enter data while more than one student’s box is checked – that will apply the changes to both students’ records.
    3. Always check to be sure the data has been cleared before you check the next student’s box – this has been a frequent mistake in the past – it causes the one student’s data to be copied to the other student’s record.
    4. Double-check yourself when you have finished (or anytime during the process) by returning to the list of datasets (click the Forms tab again) and clicking on the name of the dataset instead of the “manage” link.  Scan the data in the spreadsheet, making sure you have not inadvertently copied a set of data to the wrong student record – a good place to check is the name of the CT – make sure a CT name does not appear in more than one record – that would be a red flag that something is wrong.  This is also a good way to check to be sure you didn’t skip any fields (if you entered an Unacceptable, the field will be blank – if you see blank fields, be sure you intended for that to be Unacceptable and you didn’t just skip the field).
